Privacy policy

Last updated 12 October 2026

This policy explains what personal information SellerDesk collects when you use this website and the SellerDesk app, why we collect it, who we share it with, how long we keep it, and the rights you have. We’ve written it in plain English. If anything is unclear, ask us.

Who we are

We’re SellerDesk, a company based in the United Kingdom (“SellerDesk”, “we”, “us”). For the information described in this policy we are the data controller under UK data protection law, the UK GDPR and the Data Protection Act 2018, except where we say below that we act for you. You can reach us through support@sellerdeskai.com.

What we collect

When you visit this website

This website doesn’t set cookies, doesn’t run analytics or advertising trackers, and serves its fonts from its own domain. Like any website, our hosting provider records basic technical information (such as IP address, browser and the page requested) to deliver the site and keep it secure. One image, the photo in the “Get in touch” bar, is loaded from Webflow’s content delivery network, which receives the same kind of technical information to deliver it.

When you contact us

If you send us a message through the form on our contact page or by email, we receive your name, your email address, your company if you give it, what your message is about, and what you write. We use it to reply and to follow up on what you asked, and for nothing else.

Your account

  • Your name, email address and password. We never store your password itself, only a secure hash of it.
  • Your organisation’s name, an optional billing email, and your organisation’s logo if you add one.
  • Your profile photo, if you add one.
  • The people you invite, their email addresses, their roles and permissions.

Your marketplace data

When you connect a store, the marketplace lets SellerDesk access the data you approve on its own sign-in page. Depending on the features you use, that includes:

  • Your listings, product details, photos, prices and stock.
  • Orders, including the buyer details needed to fulfil them: name, delivery address and, where the marketplace provides them, email address and phone number.
  • Messages with buyers, returns, inquiries, cases and payment disputes.
  • Payouts and finance records, such as fees, advertising charges, postage labels and refunds.
  • Advertising, promotion and traffic reports, and your seller standards.

What you add

Product costs, notes and tags, supplier links you import from, and anything else you enter into SellerDesk.

How you use the app

An activity log of key actions (such as connecting a store, publishing a listing or changing a price), sign-in and security records, and how much each feature that drafts suggestions is used.

How we use it, and our lawful bases

  • To provide SellerDesk: syncing your stores, working out profit, drafting listings and suggestions, and carrying out the actions you approve. Our lawful basis is the contract between us.
  • To answer your enquiries, sent through our contact form or by email. Our lawful basis is our legitimate interest in replying to people who contact us, or taking steps you ask for before entering into a contract with us.
  • To keep your account and stores secure, including sign-in protection, rate limits and the activity log. Our lawful basis is our legitimate interest in running a secure service.
  • To support you and tell you about your account, including important changes to the service or these terms. Our lawful basis is the contract between us, and our legitimate interest in keeping customers informed.
  • To improve SellerDesk, by understanding which features are used. Our lawful basis is our legitimate interest in making the product better. We don’t use your marketplace data to build profiles of you or your buyers.
  • To meet our legal obligations, such as keeping tax and accounting records.
  • To send product news, only if you ask for it. You can unsubscribe at any time.

When we act for you

For the personal information of your buyers and customers, you are the data controller and we process it on your behalf, as your processor. We only use it to provide SellerDesk to you, following your instructions as set out in our terms, which include the data processing terms the law requires. If your buyers ask about their information, they should contact you first; we’ll help you respond.

Drafted suggestions

Some features draft text for you to review: listing titles and descriptions, replies to buyers, case answers and profit plan summaries. To do this, the relevant information is sent to our AI provider, Anthropic, which processes it on our behalf under its commercial terms. Those terms don’t allow it to train its models on that information.

  • Buyer names, addresses, email addresses and phone numbers are not sent.
  • When buyer questions are used to improve a listing, emails, phone numbers and links are removed first.
  • We record how much each feature is used, not what was sent.
  • Nothing a suggestion contains goes to a marketplace until you, or a rule you switched on, approve it.

These suggestions help you decide; they don’t make decisions about anyone that have legal or similarly significant effects.

Who we share it with

  • The marketplaces you connect, such as eBay, to carry out what you ask: publishing a listing, shipping an order, answering a case.
  • Service providers who run parts of SellerDesk for us, under contracts that require them to keep it secure and use it only to provide their service: Anthropic (drafting suggestions), Amazon Web Services (storing product photos), and our cloud hosting and email delivery providers.
  • Your own team, according to the roles and store access your organisation sets.
  • Professional advisers, such as lawyers and accountants, where needed.
  • Authorities, where the law requires it.
  • A buyer of our business, if SellerDesk is ever sold or merged, under the same protections as this policy.

We don’t sell personal information, and we don’t share it for advertising.

When you ask us to import a product from a supplier link, our own servers fetch that public page, sometimes through a proxy service. The supplier doesn’t receive your personal information from us.

International transfers

Some of our providers, including Anthropic, process data in the United States or elsewhere outside the UK. When personal information leaves the UK, we make sure it’s protected by UK adequacy regulations (including the UK extension to the EU–US Data Privacy Framework, where the provider is certified) or by the International Data Transfer Agreement or Addendum approved under UK law.

How long we keep it

  • Account and organisation data: while your account is open, and deleted within 90 days of it being closed.
  • Marketplace connections: deleted as soon as you disconnect a store.
  • Synced marketplace data (listings, orders, messages, finances): kept while your account is open so your history and reports stay complete, and deleted within 90 days of you removing the store from SellerDesk or closing your account.
  • Buyer contact details: deleted straight away when a marketplace tells us the buyer has deleted their account, and otherwise with the order they belong to.
  • Raw notifications from marketplaces: 7 days.
  • The activity log: for the life of your organisation, so it stays a complete record.
  • Enquiries sent through our contact form: 12 months, then deleted. If you become a customer, what we need to support you becomes part of your account.
  • Billing and tax records: six years, as UK law requires.
  • Technical and security logs: only as long as needed to run and secure the service.

How we protect it

Marketplace connections and buyer contact details are encrypted at rest, access is limited by role and by store, sign-in sessions are short-lived, and key actions are logged. Our security page has the details. If a breach ever puts your information at risk, we’ll tell you and the Information Commissioner’s Office as the law requires.

Cookies and similar technologies

This website doesn’t use cookies or store anything in your browser. The SellerDesk app uses strictly necessary cookies to keep you signed in securely; they can’t be switched off without stopping the app from working. We don’t use advertising cookies. If we ever add analytics or other optional cookies, we’ll update this policy and ask for your consent first where the law requires it.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that’s wrong or incomplete;
  • ask us to delete your information;
  • ask us to restrict how we use it, or object to how we use it;
  • receive your information in a portable format;
  • withdraw consent, where we rely on it, at any time.

To use any of these rights, contact us through support@sellerdeskai.com. We’ll respond within one month, and there’s normally no charge. If you’re not happy with how we handle your information, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We’d appreciate the chance to put it right first.

Children

SellerDesk is a business service for people aged 18 and over. We don’t knowingly collect information about children.

Changes to this policy

When we change this policy, we’ll update the date at the top. If a change matters, we’ll tell you by email or in the app before it takes effect.
